I would love if the invoice was attached as a pdf. As it is now my accountant have to save every invoice as a pdf to get them in the online accounting system. It's very time consuming and more or less everybody else can do that, so why not Simplero?

Exactly what Rikke Mors said. I need it myself to be able to process our own accounting ACCORDING TO GERMAN LAW. And clients needs the pdf for tax reasons according to law. Right now we manually create the pdfs and it is very time consuming.

Calvin Correli For reasons I don't know my accountant uses time to make every Simplero invoice a PDP before she can upload it to the accounting system. Also some of my customers ask if I could please send them the invoice as an PDF.
It's time and cost consuming, so please get it done. I would be so happy.

I'm a little surprised by this, honestly, but I can see that you all are very passionate about this, so let's do something about it.
Help me understand what's the purpose?
I haven't once needed a PDF invoice in my 35 or so years of doing business, but clearly you guys work differently.
I've always just saved the email as PDF if I really needed that, but it's rare.
So just to make sure we do this right, what exactly does the PDF need to say?
Is it just a literal PDF rendering of whatever's in the email, same as if you hit "Print as PDF"?
Or is there something else?
And is the point that you as the account owner can send it to your accountant, or that your customers can send it to theirs?

Calvin Correlito be able to sent it to our accounting system for automatic import. So just the invoice as pdf. Simple as that. All other billing systems support this option.

Calvin Correli, for me the advantage is for cloud accounting. For example I use Xero (though other systems are likely to be similar. I can set up an email rule to forward an email that has an invoice/receipt attached. XERO will pull out the invoice and save it into its files system to make it very easy to save the invoice with its transaction. Great if my accountant has a query - I don’t have to spend time digging out an email, it’s just there. I could also buy an add-on that extracts the information from the invoice/receipt and create the transaction saves time on inputting. (I don’t have that many transactions for now to make it worthwhile for me, but others might.)

Calvin Correli. In our current setup, we receive invoices via email from Simplero, which need to be sent to our accounting program, such as Economic or Dinero in Denmark. These accounting programs can automatically read invoices, but they can only process them if they are attached to an email as a PDF.
At the moment, when we receive an invoice from Simplero, we have to manually open the email, print the invoice as a PDF, and then send it to our accounting program for machine reading. Although it’s possible to download all the PDFs from Simplicero manually, it would be much more efficient if this process were automated.
Ideally, as soon as we receive a notification that a sale has been made, the invoice should automatically be sent directly into our accounting program. This would streamline the process, allowing us—or our accountant—to handle the booking without the extra step of manually printing and sending the invoice.
The Only Thing We need is for the invoice to be attacked to the email we get.

Calvin Correli, this is a request form several b2b partners. If the invoice is not attached as pdf, apparently they cannot import it into their accounting system. And we have to create a pdf and send it manually.

The VAST majority of my clients are businesses and I would say that at least 70% of them have asked me for PDF invoices several times. These days most book keeping systems can scan and utilize a PDF invoice and that is what my clients do.
We use Quickbooks in my company, and all our suppliers deliver PDF invoices that goes directly into Quickbooks.
As you can see, many of us have been asking for this for years and I think you can rest assured that we won't ask unless there's a good reason.
Simply create an invoice similar to what you do today and attach it as PDF to the invoice email sent when a client pays.

We have the Print button on the Sales > Receipts screen which will, when printed, put each invoice on its own page in one big PDF.
Seems simpler than trying to pull out PDFs of a bunch of different emails.
How do you get it to your accountant in your other billing systems? Do you have a place in admin to download them all at once, do you forward emails, or how does it work?

Calvin Correli if the pdf is attached to the email the email can be forwarded directly to the invoicing system. It will remove the manual step of saving the invoice as pdf and the attaching it to an email to the invoicing system.

There are multiple needs - for accountancy record keeping and integration with common accounting systems and for clients who are funded
I work with lots of organisations and professionals who want to send an invoice onto their organisation. It's just a simple expectation that they all have. It needs all the core information on it and must look professional.
I think it would be very helpful to combine this functionality with an organisation ID. so that it is easy to link specific people to their funding organisation and identify specific organisation members eg Directors, Key links and administrators.

Calvin Correli Not an expert here - but in a nutshell: My B2B-clients are expecting a classic one page pdf invoice, not just a receipt. A few times I have had to ask my bookkeeper to manually create a "real invoice" in another system and send it to my client, to live up to their accounting standards.

Calvin Correli as long as the invoice is attached as a pdf (simple pdf print of the email invoice), this can be automated by adding the account system forward email to settings in Simplero, so that part is already solved, we just need the attached pdf. (this was a reply to your comment on Lindas question/comment)
And for your question, is what you need really just, what can be achieved by "print as pdf" on the email - yes that's it.
Both to save our clients the proces of having to do this and because a surprising high amount of clients finds this process to be an advanced technical step and they quite often reach out and ask to have a pdf of the invoice because they don't know how to do it themselves. So that would also save us (the Simplero account owners) some work.

Calvin Correli it is timeconsuming to make the invoice an pdf, attach it to a mail and then send it to the account system. When i get an invoice as an attached pdf, I can just forward it in 2 seconds.
Thats why it makes a big difference.

Calvin Correli We need a function that automatically attaches the invoice as a PDF to the email when it's sent out. The rest is already possible in Simplero, so with this feature, we could simply add our accounting program's email address and send copies of both the invoice and the credit note.

Just a downloadable pdf would be great. Extra points for the ability to add extra text like address and tax number for some clients.

Brian Christiansen thank you. And just so I'm clear, what's the difference between a "real invoice" and "just a receipt"? Is it just the word "invoice" vs "receipt"?
I've noticed that some systems will send two attachments, one called invoice, the other called receipt, and people can pick whichever they prefer.

Calvin Correli I believe there are som rules about CVR-number and other formalities - and a downloadable pdf I guess. But again, I am not an expert.

Calvin Correli in Sweden there are different rules if it is an invoice or a receipt. They have different mandatory information and is important especially when talking about the VAT.
I work as an accountant, specialized on taxes in Sweden and if you have any questions regarding this I will be happy to help, since this is also one of my most "disturbing" things with Simplero and it would be great if the reports could be more seamless transferred to the bookkeeping!
I see there are two different needs depending on how much you sell each day, either you need more of a cash register with a report of receipts for the total sale of the day or you need the invoices in separate pdf-files to download.

And do you happen to know what the rules are in other countries? That's always the challenge. Trying to find something that works with no or limited modifications for each of many contries we have members in.

Calvin Correli if we are talking about the VAT it should be more or less the same in EU. But I am not an expert for other countries, I am only educated in Sweden and have worked at the Swedish Tax Agency. Even so, when reading what everyone else has written here it sounds like it is the same kind of needs/ rules for the bookkeeping, regardless the country.
When I read through I see there are two different "headlines". One is to get the correct documentation for the bookkeeping and the other is if there could be an integration between Simplero and the bookkeeping software.
Number two I think can be a tricky one to solve for you, since all the softwares handle the integrations a little diffrerntly and there are so many out there on the market.
So if I could wish, I think number one is for Simplero to fix (get the correct documentation). And number two is for others to solve, like Shopify and Etsy do it.
It is easier to explain all the rules and needs over a meeting where we can discuss it better, send me an e-mail if it is interesting.

Calvin Correli part of the issue (or from what I have seen) is that if you do "print as PDF" then the document may be longer than just the simple invoice. PDF would have the company info, logo, invoice #, etc. as well as the itemized invoice (or estimate). Quickbooks does this for all of my invoicing (email that does have info I type as a message to the client, as well as it sends the straight forward invoice (not 2-3 additional pages from printing an email that includes the header, footer, etc.

Calvin Correli Adding my voice to the many that already have replied. Yes, it is very important that we have the option to send Invoices (not only payment receipts) as PDF.
I'd suggest Simplero sends the client both the invoice and the receipt when dealing with an automatic renewal and sends a copy to me as owner as well.
Like most business owners, I have to send all my purchase and sales invoices to my bookkeeper als PDF attachments. It's the normal way to process invoices here. (Netherlands)
